For laser printers, the negative image of the page is stored in the printers buffer memory and is read and scanned onto the drum. It takes one line at a time.

3. Carefully cut the thing seal from around the waste toner container.
4. Gently remove the screws holding the top of the container to the bottom.
5. Place the whole container into the bag and slowly empty it and shake the whole Xerox waste toner container and you will see the bag filling with the powder waste.
6. Continue until empty and then wipe the excess with paper towel best you can.
7. Clean the clear plastic square, this needs to be wiped down and cleaned as best as possible.
8. After the cleaning is complete, reassemble the waste toner container with the screws and use a piece of clear tape all around the outside to reseal the container together.
9. Once reassembled, you can reinstall into your machine until you backup one arrives (assuming you did order a back up…right?) =)

The goal is to not only empty the container, but also clean the clear plastic area so that the sensor reads the xerox waste toner container as empty.

Please be careful when doing this – toner may spill and make a mess. Even worse, if you do not seal the waste toner container back correctly before reinstall, the toner may spill inside the machine. This would make a very large me.

Xerox Color C60 smeared colors on page

Quick Customer Story we received this week. 

We lease Xerox Copiers and Printers across the country. This particular customer has multiple locations across the country where they lease copy machines from us. This particular Xerox C60 copier is in their head office with their designers who print high definition prints.

Now that we have that out of the way – let’s being.


We are going to copy and paste the email chain here with commentary on how the issues were resolved. This was handled by our superior customer service team.

Hope you are doing well. We had an issue with one of our C60’s in the New York office. This morning it said that all 3 color drums needed to be replaced. All at once and out of the blue. We replaced all three and it printed fine for a bit, but now the prints are coming out bad. It looks like all the colors are smeared on the sheet. It is grainy like a dust and you can wipe it off with your finger. All of the colors are on the printed page. Also the drums have a large amount of the colored toner on them. I think we more than likely need a tech to visit ASAP. Attached are the photos of what we are seeing. HELP!!!

First – The drums are dirty and need to be cleaned. The customer just replaced them so they shouldn’t look like this.

At this point, behind the scenes, the Xerox service team begins to schedule the technician to come onsite. The ticket is sent to the technician for him to review and schedule with the customer. 12 minutes after the customer reported the problem, a service tech was scheduled and a backup supply order was placed.

Case Study: Why you use an Authorized Dealer

STORY TIME

…they were having issues configuring printing and scanning.

We once had a customer call us and ask us to help them setup their copier for them. They purchased the Xerox Workcentre 7225 copier off of a popular website (Amazon) from “a seller”. It all started when they were having issues configuring printing and scanning. This is a common issue, even with customers that lease copiers from us. 

We do not have many help guides written for the old WorkCentre 7225, so one of our managers offered our configuration services to them and they decided to go for it. The manager launched a remote session into the customers computer to assist in the configuration of the unit (this is the same procedure we use when on-boarding a new customer.) The setup process was going smooth and everything seemed to be working well. Until the manager hit a roadblock – the customer had a MAC and was getting “The job was not printed because the PostScript option is not enabled”. Uhoh – you may understand what this means from our Abode Post Script error post over here.

After wrapping up what setup process we could (scan setup, email setup, and print driver setup help), the manager informed the customer that they needed a post script kit in order to be able to print from the MAC. The manager was also going to check if a Xerox maintenance plan could be added to the device. 

A few days later it was determined by Xerox that :

The provided s/n is not in our service entitlement data base.  If the device was purchased from an authorized channel distributor or from the Wilsonville dealer desk, please forward the invoice of purchase for further review.  If it was not, it would not be eligible.

This means that this device was not purchased from an authorized dealer and can not have a service plan protecting it. Why is a service plan on a copy machine important? First and foremost – service plans save you money. The cost of one regular capacity toner is around $100. Then, if something breaks to get it repaired – your onsite labor time STARTS at $125 /hour. Under a Xerox service plan, all of that is covered. 

Explaining this to the customer is not something we like to do. Even though they didn’t get the copier from us, they are still our customer and not having a service plan could be a recipe for disaster. 

After this, we spent the next few days trying to track down a Post Script for the customer. Finally, after talking to all our vendors, we think we finally find one and attempt to order it. Only to then realize that the customers WorkCentre 7225 needed the chip version of the postscript kit, and not just the activation code. 

Unable to locate a Post Script kit, we proposed a brand new copier to them, with a maintenance plan, TO PURCHASE. The price was under the cost of the one they purchased off Amazon! With this info, the customer attempted to see how to return a copier back to the seller on Amazon. Quickly they found out that they would have to hire a freight company to ship it ($350) and pay a restocking fee ($600). This was 1/3 of what they paid for the unit in the first place. 

In the End – They decided to keep searching for a Post Script kit chip to enable Printing for their MACs.

Copier Cost Basics

 

In today’s world, there are three things to consider when purchasing any item. Is it good, is it fast, and is the price fair? These things apply to a copy machine even more so. Let’s break them down with question you should ask yourself:

Good, Fast, Fair Copier Experience

Good:
Does the copy machine you are looking at leasing/purchase have good reviews from 5 years ago?
This is super important because most copier leases are between 3-5 years. Most manufacturers retire and release new fleets every 3-5 years. You want to see what customers were saving about their units, as soon as they started to use them – before the “norms” sat it…

Does the copier dealer/sale person have any reviews/customer testimonies?
Remember, this person is in the sales mode. It is important to set expectations of after the sale. Do you have a customer support team to deal with? Do you have a “go to” person if something happens and you need immediate assistance? What types of alerts/notification/announcements do you receive from your copier dealer?

Fast:
How fast do I really need the machine to print paper?
This really depends on how many pages the average user prints. If your employees only print 7 pages of a document on average, then a 30 page a minute device would print those pages in 15 seconds…not including startup time which shouldn’t be higher then 8 seconds. If they have to get up from their desk and walk to the copy machine, then the document should be there waiting for them. (unless they speed walk to the copier like crazy Sally in accounting)

How fast is your copier service team/supply orders?
This is probably one of the most important things you can focus on. You want a reliable device yes, however if you have a slow service team or slow supply orders – that equals longer downtime for you. Max Paper Size: Legal or Ledger?
Ask yourself how often will you be printing on these sizes of paper. When choosing the appropriate printer, one has to focus on what type/size/color paper you are going to be printing on .

Legal Paper:
Check out the Versalinks. If you are a smaller office and don’t have a need for a floor standing copy machine, Xerox does make some great desktop multi-functions that can print 8.5 x 14. We have some on our website: Versalink C505.

Ledger Paper:

Color Print Quality: Great or Great?
Ask yourself – How important color picture printing? Either way it’s going to look great on a Versalink or Altalink model…but let’s break down below.

Versalink Color Printing:
Very good. We have multiple clients that print out quotes, order forms, presentations on it and don’t have any issues. MOST customers can get away with a Versalink…if they don’t have high print volume. The Versalinks drums, rollers, and fuser don’t have as long of a life like their bigger brothers.

Altalink Color Printer:
The Altalinks were modeled after their predecessor line – WorkCentres. The Altalinks are truly a business work horse. They produce amazing color pictures, considering they were intended to be office machines. Altalinks are the preferred unit of choice because they even have an entry level unit. Why is that? How much do you spend on your internet service, phone service, coffee service, and electrical service? Xerox Versalink C405 – Error Code – 071-101

Recently we received a question on our online chat that was from a user receiving Error Code 071-101 on there Versalink C405. This individual was not an active customer – just someone needing help.

Description
Tray 1 Miss Feed Jam/ Option Regi On Jam After a paper was fed from Tray 1, it did not reach the Registration Sensor.

Causes
• Turn Roller Assembly, PL 2.2.1 • Feed Roller Clutch, PL 2.2.8 • Tray 1 Feed Roller Kit, PL 2.2.99 • Registration Sensor, PL 5.1.3 • Bypass Tray Turn Roller, PL 5.1.8 • Turn Roller Clutch, PL 5.1.9 • Paper Handling Motor (P/H Drive Assembly), PL 11.1.19 • MCU PWB, PL 12.1.15 • Paper Jam Sensor, PL 15.2.3 • Feeder PWB, PL 15.2.3

Remedy
1. Check the installation of Tray 1. Is Tray 1 installed properly?
Go to step 2.
Reinstall Tray 1. 2. Check the paper transport path. Is there any debris found on the paper transport path? Remove the debris from the paper transport path. Go to step 3. 3. Check the installation of the Feed Rollers. Are the Feed Rollers installed properly? Go to step 4. Reinstall the Feed Rollers. 4. Check the Feed Rollers. Are the Feed Rollers deformed or worn out? Replace the Feed Rollers. Go to step 5. 5. Check the Registration Sensor operation. Perform DC330 Component Control [071-102] to check the operation of the Registration Sensor. Is the Registration Sensor operating normally? Go to step 6. Go to Registration Sensor. 6. Check the Turn Roller Clutch operation. Perform DC330 Component Control [071-016] to check the operation of the Turn Roller Clutch. Is the Turn Roller Clutch operating properly? Go to step 7. Go to Turn Roller Clutch. 7. Check the Feed Roller Clutch operation. Perform DC330 Component Control [071-015] to check the operation of the Feed Roller Clutch. Is the Feed Roller Clutch operating properly? Go to step 8. Go to Feed Roller Clutch. 8. Check the Paper Handling (P/H) Motor operation. Perform DC330 Component Control [071-009] to check the operation of the P/H Motor. Is the P/H Motor operating normally? • When the Optional Tray is not installed, replace the MCU PWB. • When the Optional Tray is installed, go to step 9. Go to Paper Handling Motor. 9. Check the Paper Jam Sensor operation (Tray 2). Perform DC330 Component Control [071-125] to check the operation of the Paper Jam Sensor. Is the Paper Jam Sensor operating normally? 2019 Xerox Total Satisfaction Guarantee Update

It is very important to us at USA Copier Lease that we provide the highest quality of service to our customers. One piece of that puzzle was Xerox’s Total Satisfaction Guarantee program.

This program allowed for the replacement of a Xerox device if the customer was not satisfied with the unit. However, this program was hardly used because once you go Xerox…you don’t go back. =) We have raving fans!

It seems now that the Total Satisfaction Guarantee program has ended. However, the device replacement program is still in existence. Meaning – If the Xerox is not operating like it should and it can’t be repaired, then Xerox will replace the unit with a model with similar specs. (Factory refurbished, certified, and acceptable for a maintenance plan.)

Here is the official release from Xerox:

Xerox has long provided to customers a Total Satisfaction Guarantee (TSG), which provided a device replacement remedy if the customer was not satisfied with the device’s function during the initial continuous term of the service agreement. Over time, improvements in product reliability have reduced the benefits of the TSG. Thus, we made the decision to retire the TSG program.

Although we will no longer promote the TSG as a program, it’s important that you and your customers understand that the customer continues to enjoy a device replacement remedy for equipment that we fail to keep in working order while the device is covered by a Xerox equipment service or maintenance agreement.

Empty Your Xerox Waste Toner Container on a Versalink

Greetings!
Let’s help you empty this Xerox Waste Toner Container
*NOTE: The processing of temporarily emptying the Waste Toner Container is not recommended by Xerox or Xerox Support. Please take this information at your own risk (we have to say that in case you do something wrong and break your machine. =)

How To: Empty Xerox Waste Toner Container for a Versalink 

Works with:
Versalink C7020/C7025/C7030 & WorkCentre 7220/7225/7120/7125

Things you will need:
Pliers, trash bag, rubber gloves, razor blade, super glue or packing tape, and rags/paper towels.

Step 1 –
Open the door underneath the output tray of the Xerox Versalink to reveal the waste toner container.

Step 2:
Remove the waste toner container and place it in the plastic bag

Step 3:
Use pliers and remove the white plug.

Step 4:
Place Waste Toner Container in sealed bag and empty.
Do your best to temporary seal the bag, so no toner dust fills the air.

Now Gently Shake the whole Xerox waste toner container.
Continue gently shaking until most of the powder has stopped falling. 

Step 5:
Allow waste toner container to rest for a minute to settle dust.

Step 6:
Re-insert White Plug
Upon reopening the bag you will need to use those rubber gloves and rags to wipe up any excess toner that has touched the outside of the waste toner container. Afterwards, y
ou will need to re-insert the plug that was removed. (Tape may be required to hold the cap in place.)


Step 7:
Remove and clean clean plastic sensor window.
After the waste toner has been emptied, you will need to clean the sensor that the Versalink checks to see if it is full or not. The Sensor looks inside of the clear plastic square to check the waste toner containers level. Versalink Waste Toner Container Sensor Cover

The goal is to not only empty the container, but also clean the clear plastic area so that the sensor reads the xerox waste toner container as not full.

How to Remove Clean Plastic Sensor Square: 

Using the razor blade, safely peel back the clear plastic square.
Please be careful when doing this – toner may spill and make a mess. Even worse, if you do not seal the waste toner container back correctly before reinstall, the toner may spill inside the machine. This would make a very large mess.

Clean Out any toner underneath
Clean this out and use a rag to clean the clear plastic square.

Reinsert the square with either super glue, or tape to hold it in place.
After the waste toner container has been cleaned, reinsert into the Versalink and the device should function again.


More Info….
There might come a time that you forget to order your Xerox waste Toner Container and the Xerox copier or printer completely stops working and doesn’t let you proceed with printing, copying, or scanning. Sometimes, this is because your waste toner cartridge has become full.

The copy machine will stop functioning altogether when the waste container is full of…well waste toner. You will see an error message on the display screen telling you that you need to replace the waste container. Unfortunately, someone forgot to order your replacement Xerox waste toner container (Xerox Part #115R00128). But don’t worry, we here at USA Copier Lease have come across this problem for years and have a temporary solution for you.

We have multiple customers that use MAC’s (Apple Computers) in their work environment and need Xerox Standard Accounting to track the page type and count printed by each user. Xerox Altalink and WorkCentre 7855 ‘s (family) have Xerox Standard Accounting included. This was written to help our smaller realtor offices setup Standard Accounting on their MAC’s.

First things First - Driver Find

Let’s make sure you get the right driver for your Xerox
Go to Google and type in your model + driver and let Google do the rest.

If you click the right link (make sure you click the one that starts with support.xerox.com……

Second Step - Download Driver

You need to download the driver that is correct for your Xerox system –

If you don’t know with Associated product you have, chances are you have a “built-in controller”. If your Xerox has a Fiery Logo on the LCD panel when you walk up to copy something, then you need to select the EFI controller option.

Next you need to select the correct operating system and language.

Third Step - 
Configuring the MAC Driver for Standard Accounting

Hopefully you got the driver installed okay.
Next- we will need to configure the driver for standard accounting.

Xerox SMart eSolutions Communication Error

Xerox Copiers and Printers can submit their meter reads directly to Xerox using an available internet connection. This is available for certain applications and certain maintenance plans. Quite often, the device is unable to communicate with the Xerox servers over the internet and displays the error message “SMart eSolutions communication error”

If you are one of our customers you don’t need to worry about this. Your meter reads are submitted via the Xerox Device Agent (XDA) that is installed on a computer in your network. So, there is no need for the devices to have  SMart eSolutions enabled and showing you the annoying error. SMart eSolutions can be disabled to remove the error message.

To Disable this message:
– Open up Internet Explorer (or Chrome) and type in the IP Address of the Xerox Device
– Then click the login button at the top of the page.
– Default Username – Admin – Default Password – 1111
– Then Click the Properties Button
– Then expand General Setup
– Then SMart eSolutions
– Then Select “Not Enrolled
– Save and Exit.
– A reboot of the device may be required to make the error message go away.

Error Message: Xerox Invalid Hostname

Scan to Email on a Xerox can be a tricky thing. There are a few settings that need to be changed in order for it to work properly. If you followed the article HERE on how to setup Gmail as your scan to email and now you are receiving the error “Invalid Hostname”, here is how you fix it.

Using the web portal, go to the Centreware Control Panel.
  – Go to Connecticity
  – Then Setup
  – Then TCP/IP Settings
  – Then DNS

Inside the DNS Settings
  – Requested Host Name is filed out by Default 
  – Requested Domain Name is blank by Default 
      – Type = WORKGROUP
  – Scroll down to DNS Server Address

     – Type in the first blank 8.8.8.8
     – Type in the second blank xxx.xxx.xxx.xxx (the same ip address of your DNS server – which is probably your default gateway for your router/modem)

Reboot the device and you should be able to scan to email now.

What to Look For In an Office Copy Machine: 
Ease of use and security are the major differences between digital and analog commercial copy machines. Digital machines allow for “One Scan to Many Copies”—scan once and you can make many copies, even much later, without needing the original document. Analog copy machines require the original document to be present every time a copy is made. Because of their archival nature, though, digital machines can be vulnerable to information theft. Multifunctional copy machines can spare office space and expense, functioning as fax machines, printers, and more, however their complexity should also be considered. Also decide if you need color or black & white (color is more expensive) and whether you want a WiFi-ready machine.

More Buying Tips and Information: Start with the basics such as understanding your day to day needs like scanning, faxing, and will you need a color copier or just black and white copies. Consider what type of connections you will require such as USB, Ethernet, or a wireless connection. Depending on how large your print jobs are you may need a high speed copier that produces 44 pages per minutes, or for smaller offices maybe 10-20 PPM will suffice. Lastly consider how deep the print quality will need to be, such as for reproducing images and photos where as you may require  a print resolution between 600 DPI and 1200 DPI.

How To: Empty Waste Toner Container on WorkCentre 7830/7835/7845/7855

This is a step by step guide we created on how to empty a waste toner container on a Workcentre 7800 Multifunction device. This is almost identical to the waste toner container on an Altalink C8030/35/45/55 series.

There might come a time that you forget to order your Xerox waste Toner Container and the Xerox copier or printer completely stops working and doesn’t let you proceed with printing, copying, or scanning. Sometimes, this is because your waste toner cartridge has become full. The copy machine will stop functioning altogether when the waste container is full of…well waste toner. You will see an error message on the display screen telling you that you need to replace the waste container. Unfortunately, you somehow forgot to order your replacement Xerox waste toner container (Xerox Part #8R13061 or 008r13061).

But don’t worry, we here at USA Copier Lease have come across this problem for years and have a temporary solution for you. Watch this video that shows you how to empty the Xerox waste toner box until you receive the replacement unit.

Alternate Method to Emptying your Xerox Waste Toner Container

If you don’t have time to watch the video, you can follow these steps for another method to empty the Xerox waste toner container:
1. Open the sliding door right next to the peach/ yellow color handle on the Xerox waste toner container.
2. Find a plastic bag (we suggest a trash bag)
3. Put the peach/yellow handle end inside the plastic bag covering the sliding door.
4. Once the bag is wrapped nicely around the Xerox waste toner container, use a finger to open that sliding door from the outside.
5. Shake the whole Xerox waste toner container and you will see the bag filling with the powder waste.
6. Continue until empty and wipe the excess with paper towel best you can.
7. Slide it back in. You should now be able to see the “Ready to Copy” sign.

The goal is to not only empty the container, but also clean the clear plastic area so that the sensor reads the xerox waste toner container as empty.

Please be careful when doing this – toner may spill and make a mess. Even worse, if you do not seal the waste toner container back correctly before reinstall, the toner may spill inside the machine. This would make a very large me.

Tips for Moving Your Office Xerox Copiers or Printers

One of our clients recently called us stating their office moving company refused to move their floor standing Xerox copiers because they were afraid it would void the warranty on the Xerox copier. We decided it may be good for all our clients to know the proper procedure for moving your floor standing Xerox copiers.

So whether you are moving a Xerox copier to another floor or across the city, please consider these following steps:

1)     Print the configuration page of the device and keep a copy on the copier glass. This will provide ready information on the IP address, accessories, settings of the device. Very useful when you have to re-install device at new location.
2)     Power down and unplug the Xerox copier. Detach all network cables and fax lines. Don’t just throw the power cable over the top of the copier – wind the cable properly and secure on the back or sides of the device using appropriate tape. Do the same of the network cables and fax cables.
3)     Wait at-least 30 minutes for the fuser (the part that melts the toner onto the paper) to cool down before removing any consumables from the device. ( For Xerox solid ink devices, please go through the proper shut down procedure)
4)     Remove the toner cartridges – as many as 6 in certain Xerox models. It’s best if you shrink-wrap the individual toner cartridges and secure the toner in the box that they came in or in a sealed box dedicated to only the cartridges. A zip-lock type bag can also be used. (Some older copiers have a kerosene based toner fluid and it will run out of the machine as you tilt it going downstairs – so please make sure to empty all liquid toners and fuser oils) For Xerox solid ink printers and copiers, the toner does not need to be removed.
5)     Remove the waste toner cartridge and just like the toner cartridges, seal and package them securely for transport.
6)     Remove accessories. Most Xerox office copiers are equipped with accessories like finishers, sorters, additional paper trays / large capacity paper decks. Such accessories usually need to be removed prior the safe movement of a copier. As always, consult the instruction manual or the copy machine manufacture website for specific instructions on the correct way to remove, store and transport these accessories. Carefully pack all screws, bolts and other connection hardware in a zip lock bag and secure them with the accessory.
7)     If you are moving multiple Xerox copiers, it’s a good idea to place identifying tags on the removed consumables and accessories.
8)     Secure the Automatic Document Feeder on the top of the copier by taping it down. This would protect the copier glass and also prevent the document feeder from flipping over or rattling during the move.
9)     Leveling feet / wheels – many Xerox copier models have wheels or ‘casters’ that need to be unlocked. Be sure to also check any leveling-feet that may be installed on your model and that have been screwed down when the copier was put in place.
10) Bubble wrapping the Xerox copier is recommended.
11) Depending on your floor type, you may want to consider placing appropriate floor protectors before wheeling the Xerox copiers. If there is any type of accumulated toner residue on the wheels, they may stain your carpets. Toner stains are very difficult to remove too.
12) Please avoid wheeling the Xerox copiers on rough surfaces ( like pavements and roads) – you have a good chance of breaking the wheels. They are meant to only be wheeled on smooth surfaces like carpets or finished flooring. Using a furniture dolly or other appropriate tools are advised.
13) You may need building permission to use freight elevators and perhaps even appropriate insurance before being allowed to move the Xerox copier out of your office. Please check with building management about the paperwork they may need.
14) If your Xerox copier is leased, you have to notify the leasing company of the new address location of their asset. This is a mandatory requirement on all copier leases.

Good luck with your move and the new office. Moving is stressful as it is and careful planning and attention to detail are your best friends. These steps may seem a little too much – but who wants to move to a new office and contend with a broken copier / printer. The precautions are well worth it. Windows 10 on the Print Drivers of your Xerox Printer

Have you upgraded to Windows 10? If so you may have some questions about how to setup or install the print drivers for your Xerox printer on this new OS. Not much has changed about the Xerox printer interface and installation from Windows 8/8.1 to the new Windows 10.

There are instructions for installing printer drivers in the release notes for the driver for your Xerox printer.
