How to: Turn on Black and White Only Printing

In this entry – we will help you turn on (or off) Black and White only printing on a Xerox Versalink C7025. As of July 2019, this setting is only able to be changed on the local computers printer preference settings. We will be using a Windows 10.1 computer as a reference point for the changing of the Black and White only setting.

LET’S BEGIN!

First things first –

We lease copiers – we also write help guides for people that aren’t our customers. Why? Because we care.
Step 1

On your computer, click the little flag in the bottom left hand side of your screen and press the gear button – or click settings.

Step 2

Select Devices

Step 3

Select Printers and scanners option on the left hand side of the window

Step 4

Click the Versalink you want to change to Black and White Only and Select MANAGE

Step 5

On this new window, now press the Printer Preferences button

Step 6

Select the option for Xerox Black and White

**SUPER IMPORTANT NOTE INCOMING**

If you don’t see this print options for your Xerox Versalink, then that means you do not have the full driver downloaded. You will need to download the Full Driver to unlock these features – Don’t worry – we teach you how to do that here.

Step 7

Click the option for Xerox Black and White – then press OK

There we go. All done. This computer now will print all the documents in black and white only, unless the user selects to change this setting when they print a document using the print dialog button. Sorry folks – no option on the Xerox Versalink to change this globally. The Xerox Altalink has the option to change to black and white only on the device, not the Versalink.

This may not be a benefit that you have access to if you outright purchase a small business copy machine. The other benefit is that you know you can go up the chain of command if you ever need to escalate a customer service situation. You are guaranteed to find somebody that knows how to deal with whatever problem you may be having. Leasing can seem like a more expensive option, but you will be paying for peace of mind as well as having a guarantee that an essential piece of office equipment won’t give out on you when you need it most.

How To: Install Xerox Drivers

In this entry – we will help you navigate the Xerox Support Portal to install the correct Xerox Drivers on your computer. We will be using the Xerox Altalink C8045 as a reference point for the download and installation of the correct Xerox Drivers.

LET’S BEGIN!

First things first –

Step 1

Open up a Google search window and type in Xerox *MODEL NUMBER* Driver Install

See picture for example. We are using a Altalink C8045 as our example to download the drivers.

Step 2

Click on the link that has “downloads” close to the end of the green link.

Step 3

Next step, you need to click on the associated product. DON’T FREAK OUT!
This is just asking you if you have the built in controller or the EFI Fiery Controller.
If you don’t know – You probably just have the Built-in Xerox Print Controller

Step 4

Easy next step – Click to add the Smart Start – Driver Installer for your product.
MAKE SURE you download with the correct operating system and language. Those options for the driver should automatically populate, but understandably technology isn’t always intuitive. Just be careful not to should on yourself.

Step 5

Run the installation package and follow the instructions.
We did not write out all of those steps in this blog entry because the Xerox Drivers package has the steps already.

Case Study: Why you use an Authorized Dealer

STORY TIME

…they were having issues configuring printing and scanning.

We once had a customer call us and ask us to help them setup their copier for them. They purchased the Xerox Workcentre 7225 copier off of a popular website (Amazon) from “a seller”. It all started when they were having issues configuring printing and scanning. This is a common issue, even with customers that lease copiers from us.

We do not have many help guides written for the old WorkCentre 7225, so one of our managers offered our configuration services to them and they decided to go for it. The manager launched a remote session into the customers computer to assist in the configuration of the unit (this is the same procedure we use when on-boarding a new customer.) The setup process was going smooth and everything seemed to be working well. Until the manager hit a roadblock – the customer had a MAC and was getting “The job was not printed because the PostScript option is not enabled”. Uhoh – you may understand what this means from our Abode Post Script error post over here.

After wrapping up what setup process we could (scan setup, email setup, and print driver setup help), the manager informed the customer that they needed a post script kit in order to be able to print from the MAC. The manager was also going to check if a Xerox maintenance plan could be added to the device.

A few days later it was determined by Xerox that :

The provided s/n is not in our service entitlement data base. If the device was purchased from an authorized channel distributor or from the Wilsonville dealer desk, please forward the invoice of purchase for further review. If it was not, it would not be eligible.

This means that this device was not purchased from an authorized dealer and can not have a service plan protecting it. Why is a service plan on a copy machine important? First and foremost – service plans save you money. The cost of one regular capacity toner is around $100. Then, if something breaks to get it repaired – your onsite labor time STARTS at $125 /hour. Under a Xerox service plan, all of that is covered.

Explaining this to the customer is not something we like to do. Even though they didn’t get the copier from us, they are still our customer and not having a service plan could be a recipe for disaster.

After this, we spent the next few days trying to track down a Post Script for the customer. Finally, after talking to all our vendors, we think we finally find one and attempt to order it. Only to then realize that the customers WorkCentre 7225 needed the chip version of the postscript kit, and not just the activation code.

Unable to locate a Post Script kit, we proposed a brand new copier to them, with a maintenance plan, TO PURCHASE. The price was under the cost of the one they purchased off Amazon! With this info, the customer attempted to see how to return a copier back to the seller on Amazon. Quickly they found out that they would have to hire a freight company to ship it ($350) and pay a restocking fee ($600). This was 1/3 of what they paid for the unit in the first place.

In the End – They decided to keep searching for a Post Script kit chip to enable Printing for their MACs.
